It refuses the signature before the problem exists
A finding after the fact is a liability you already own. MedSpa OS checks the rules while the note is still open and will not let a clinician sign through a blocking one.

Rules are data, not code
Each rule says what it requires, who it applies to, which state it belongs to, and whether it blocks signing or only warns.
- A good faith exam on file before a medical treatment.
- A signed consent that actually covers the treatment given.
- No expired product used on a patient.
- Notes signed within 72 hours.
- A before photo on injectables.
- A current licence for every clinician.
- A named supervisor for nurses and assistants.
Owners and medical directors add, reword or retire a rule in settings. Editing raises the rule's version, so an old finding still shows the wording it was raised against. A rule the system does not understand is skipped and logged, never treated as passing.
What happens when something is wrong
- Blocking findings stop the signature
- The note stays a draft and the wording says exactly what to do next.
- Warnings stay visible
- A warning does not stop work but sits on the note and in the findings list until it clears.
- Waivers need a reason
- A medical director or owner can waive one finding on one note, in writing, recorded against their name.
- Nothing is deleted
- A subject that now passes is marked cleared. Re-running the check updates a finding rather than piling up duplicates.
- Licences and supervision
- Every active clinician is listed with licence expiry and who supervises them; missing or expired is flagged.
- No patient detail in a finding
- A finding names a note by its treatment and date, never by the person.
Bring your own state rules
Rules can be written per state. We set them up with your medical director rather than guessing at your regulations.
